Receptionist/Administrative Assistant



ESTI is looking for a Receptionist / Administrative Assistant to join our Saskatoon team!

The Receptionist's primary duties are focused around office administrative work. The Receptionist provides administrative support to ensure the smooth daily operations of ESTI. This position requires attention to detail, and the ability to manage multiple priorities simultaneously in an ever-changing environment. This role has the possibility of growing into a full-time position.

** Local experience is a preferred asset, but we are always interested in individuals from across Canada. While international experience can be an asset, we require candidates to have Canadian work experience, and currently reside in Canada. **

 

What will you do day-to-day?

  • Ensure office is opened promptly at the beginning of the day (8:30 am)
  • Be a presence at Reception for clients, walk in traffic, receive and distribute courier deliveries
  • Answer office telephone, take messages, and transfer calls
  • Open, sort and distribute mail
  • Prepare daily bank deposit
  • Electronic and Paper Filing and general document management
  • Prepare labels and file folders as requested
  • Perform various ad hoc duties involving research, office work, etc.
  • Other general office administrative duties as assigned
  • Hours:
    • Tuesday - Thursday: 8:30 am - noon
    • Friday: 8:30 am - 5:00 pm
    • Cover potential vacation hours when requested.

 

Qualifications and Skills:

  • Answering and screening phone calls and redirecting them as appropriate
  • Providing excellent customer service
  • Ensuring all matters are prioritized and handled in a prompt, efficient, and confidential manner
  • Provides consistent, accurate work on a timely basis
  • Achieves thoroughness and accuracy when accomplishing a task through concern for all areas involved
  • Looks for potential improvements in work processes and results
  • Anticipates needs in different situations and takes appropriate action
  • Requires minimum supervision and is self-directed within the scope of his/her accountabilities
  • Demonstrates the ability to convey thoughts and express ideas effectively in written and oral communication
  • Demonstrates interest for clients by greeting them in a professional manner.

Knowledge/Education/Technical Skills:

  • Grade 12 diploma; some post-secondary education in a related field
  • Familiarity with Microsoft Office tools, including Word and Excel
  • Familiarity with office computer systems.

Experience:

  • 1-3 years in an office environment
