TRACS
When it comes to managing all of the calls and connections you experience in a day, TRACS can be key.
ESTI has developed a state of the art contact management system. The online Tasks, Reminders, and Contacts System (TRACS) provides staff with an easy to use interface to a contact database. This application takes advantage of easy and quick navigation to the contact log data ( e.g. hyperlinks, pick lists). Implementation of strategically placed drop down lists and default parameters result in an intuitive environment. It provides the flexibility to override default values so that the user may enter additional information when desired.
A bring-forward module allows the creation and modification of appointments, reminders, contact, and task lists. Users have the ability to create personal tasks for reminders and notes. If desired, tasks can be forwarded to the attention of another staff member through e-mail functionality. A logical outline of reminder dates and self- assigned tasks is clea rly displayed in single, easy to view, format. Links allow staff to view and modify the details of a task as well as providing access to the original contact entry.
Staff may insert, update and view contact log entries. The contact log component provides pick lists for frequent contact entries. The contact log component also provides free form entry fields. TRACS includes the ability to create, append, and send emails to other staff memb ers via the internal e-mail services.
Security is maintained through standard Oracle user authentication to ensure that only appropriate staff may access the information.
When paired with our electronic filing system Green File, TRACS records and associated Bring Forwards can be automatically created when 'turn around' documents are received and scanned into the database. Turn around documents are those documents produced by the client and sent to their members with the expectation that the member will sign and return the original document. These records appear in TRACS and are linked back to the document in Green File.
For supervisors, TRACS has many built in functions to ensure that case loads are being handled in a timely manner, or to identify and re-assign tasks due to unexpected staff absence.
